VOTER DATA POLICY Popular Choice public vote, Vietnam Women Tech Award 2026 1. Who is responsible The Vietnam Women Tech Award 2026 organizing committee (Women Tech Entrepreneurs - WTE), the Organizers, is responsible for the data processed when you vote. Contact: lienhe@example.com. This voting system was developed by the VoteMe team (https://www.voteme.now/) for the Organizers. 2. Why we need data Data is used only to: give each person one set of votes; record and count votes; detect, prevent and handle fraud under the Voting Rules; and let the Organizers review and reconcile results. We do not use this data for advertising and we do not sell data to anyone. 3. Data we store - Google account identifier: stored only as a one-way hash (HMAC). Used to identify the account and ensure one set of votes per account. - Email address: stored as a one-way hash; a masked copy (for example the first two and last two characters plus the domain) so the Organizers can recognize an account during review; and an email pattern (digits replaced with #) to detect sequentially numbered emails. The raw email domain is stored only for public email providers such as gmail.com. - Google Workspace domain of the account (if any): stored as a one-way hash, to detect unusual patterns by organization. - IP address, network range and browser information (user agent): stored as one-way hashes, to detect unusual numbers of votes from one source. The network provider (ASN) is stored as a number. - Votes: the chosen candidate and the time of the vote. This is stored in clear form and used for vote totals, the vote log and My votes. We do not store raw IP addresses, emails or Google identifiers. We do not store your Google password; sign-in happens at Google. 4. Who processes the data - Google: provides sign-in. - Cloudflare Turnstile: checks you are a real person when voting. - Vercel: runs the website, including cookie-free Web Analytics for anonymous traffic statistics. Other than the above and authorities as required by law, we do not share data with third parties. 5. Cookies The site uses necessary session cookies to keep you signed in and to run the secure sign-in step. We do not use advertising or tracking cookies. 6. Retention Voter identity data is kept for up to 90 days after the Organizers announce the results, to handle complaints and reconciliation. After that, identifying information is deleted. Vote totals and published results are kept because they no longer relate to a specific voter. 7. Your rights You may ask what data we hold about your account, and request deletion or restriction of processing. Send requests to lienhe@example.com. Because identity data is stored as hashes, we may ask you to confirm with the same Google account you used to vote. Votes already counted in the aggregate results cannot be separated out after publication. 8. Changes to this policy When the policy changes, the new version is posted on this page with its effective date. The Vietnamese version prevails if the languages differ.
